What we collect
We collect information in three ways: what you give us, what you and your team add to your workspace, and what our systems record when you use Pulse.
Account information
Your name, email address and profile photo, whether you sign up with email or with Google. If you sign in with Google, we receive your name, email address and photo from Google.
Workspace records
Your workspace holds the records you and your team create while running your business:
- Customers: names, email addresses, phone numbers and notes.
- Jobs, services, products and inventory, including service addresses.
- Sales, payments you record, receipts and returns.
- Team members, their roles, invitations, and an activity log of who did what.
- Photos you upload to capture inventory, and your Ask Pulse conversations.
- Feedback you send us and your notification preferences.
Technical information
When you sign in we record your IP address, browser details and an approximate location (city and country) so you can see and manage your active sessions. We also collect error and performance reports to keep Pulse reliable.
How we use it
We use your information to:
- Provide Pulse: run your workspace, keep your records in sync, and generate receipts and reports.
- Sign you in, keep your account secure and prevent abuse.
- Send you what Pulse needs to send: receipts to your customers, team invitations, operational alerts and billing notices.
- Power AI features you choose to use (see the next section).
- Answer support requests and review the feedback you send.
- Fix bugs, measure reliability and improve the product.
We don't use your workspace records for advertising, and we don't sell personal information.
AI features
Pulse has two features that use third-party AI models:
- Ask Pulse answers questions about your business. To answer, we send your question and the relevant records from your workspace to our AI provider.
- Inventory capture reads a photo of a delivery, invoice or product and drafts line items. We send the photo to our AI providers to read it.
AI output can be wrong. Inventory drafts are never applied until you review and confirm them, and Ask Pulse answers link back to the records they came from so you can check them.
We send AI providers only what is needed to complete your request, and we use them to process it on our behalf.
Your customers' data
When you add your own customers, jobs and sales to Pulse, you decide what to collect and why. For that information, you are responsible for how it is used, and Pulse processes it on your behalf to provide the service.
This means you should tell your customers how you use their information, and you are responsible for having a lawful basis to collect it. We only process it on your instructions and to run Pulse, and we keep each business's records separate from every other business's.
If one of your customers contacts us to ask about their information, we'll direct them to you.
Cookies
Pulse uses a small number of cookies and similar storage:
- A session cookie that keeps you signed in.
- A preference that remembers your light or dark theme.
We don't use advertising cookies or track you across other websites.
Security
We protect your information with measures that include encrypted connections, separation of each organization's data, role-based access so your team only sees what you allow, and rate limiting on sensitive actions.
No system is perfectly secure. If we learn of a breach that affects your information, we'll notify you as the law requires.
Retention and deletion
We keep your information while your account is active. Records you archive in Pulse are hidden from day-to-day views but stay in your workspace until you delete them or close your account.
If you close your account, we delete or anonymize your information after a reasonable period, except where we need to keep it for legal, tax, security or dispute-resolution purposes. Copies in backups are removed as the backups expire.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, to object to or restrict certain uses, and to withdraw consent where we rely on it.
Account owners and admins can update most information directly in Pulse. For anything else, email [email protected] and we'll respond within a reasonable time. You can also complain to your local data protection authority.
International transfers
We and our providers may process and store information in countries other than your own, including the United States. Where we transfer personal information across borders, we rely on appropriate safeguards as required by applicable law.
Children
Pulse is built for businesses and is not directed to anyone under 18. We don't knowingly collect personal information from children. If you believe a child has given us information, contact us and we'll delete it.
Changes
We may update this policy as Pulse changes. When we make a material change, we'll update the date at the top and notify account owners by email or in the product before it takes effect.
